In general, patients are entitled to information about their health from any practitioner who is treating them.

Should you require access to your records, please contact our Patient Services Team for details of the procedure to be followed.

Accountable / Named GP for All Patients

Accountable / named GP for all patients

The practice is required by the Government under the terms of the latest GP contract to allocate all patients a named accountable GP.
 
Individual patients will be informed of their named accountable GP at the first appropriate interaction with the practice.

If you wish to be told the name of your accountable GP, please ask the receptionists when you are next in the surgery. Please note: there is no need to telephone the practice for this information.

Where a patient expresses a preference as to which GP they have been assigned, the practice will make reasonable efforts to accommodate this request.

Having a named GP does not prevent you seeing any other doctor in the practice. Your named GP will not be available at all times and if your needs are urgent, you may need to discuss them with an alternative doctor.

St Mary’s Surgery uses the online system askmyGP to enable patients to get help from their doctor.

AskmyGP offers patients flexibility, the opportunity to be seen on the same day with no more waiting for appointments and to have their healthcare delivered in a way that best suits them. For example, by secure message, telephone, video or face to face, if required.

The first time you use askmyGP, you will be asked to register some personal details; this will enable you to create your own askmyGP account.

If you would like to make a routine appointment with the nurse or health care assistant (HCA), please contact reception by telephone as previously. The surgery telephone lines are open from 8.20am-1.00pm and from 2.00pm-6.00pm from Monday to Friday.

A doctor or nurse practitioner will contact you as soon as possible. Please let us know if you are available at a particular time and we will try to accommodate this if we can. 

The doctor will discuss the problem with you and work out what to do next. If you need to come into the surgery for a face-to-face appointment, the doctor will arrange that for you – usually the same day.

If you do not have online access, you can still telephone the practice and speak to one of our receptionists. 


Please do not arrive at the surgery more than five minutes before your appointment time.
This is to limit the number of people in the building at the same time.

For the surgery, the askmyGP system will enable clinicians to respond quicker to patient needs, prioritising who needs to be seen, and ensuring all patients get the help and support they need.

We encourage patients to check the availability of their preferred GP or clinician here first and only contact them on their next working day via askmyGP. If you have no doctor or clinician preference, please contact the surgery via askmyGP in the usual way. 
 
If your query is more of an administration query our non-clinical team will respond.  
 
If you feel you need help with the new system, our Patient Services Team is always available during surgery hours and staff will be happy to help talk you through the process.
 
If you do not have online access, you can still telephone the practice and speak to one of our receptionists. 

Each patient who uses askmyGP needs to have a unique email address, so unfortunately if you share an address with someone, only one of you can use that to register with askmyGP. We suggest you register for a free email account such as Gmail or similar and use that new address. You will need to check that new address regularly as replies to askmyGP requests will be sent to it.

A doctor or nurse practitioner will contact you as soon as possible. Please let us know if you are available at a particular time and we will try to accommodate this if we can.

No, the service is exactly the same whatever time you make contact.

Clinical trials / research

Various clinical trials are undertaken at the practice, for which patient volunteers are sought from time to time. 

What is research?

There are many different types of research from observational surveys to clinical trials involving new and novel medications. These are often comparing best-known standard therapies with newer therapies to see if they are more effective or cause fewer side effects. People use research to try and find the causes of diseases and to find better treatments and services for those diseases. Research is particularly important in Primary Care as we can see the importance and effects of different treatments in a real setting, not the artificial setting of hospitals or in-patient research units. We are particularly interested in important conditions affecting patients in General Practice.

The research areas are very varied depending on what is new, has great potential or areas where research is especially needed.

Research at St Mary's Surgery

St Mary's Surgery has an excellent track record in clinical studies. We have been invited to perform studies from many institutions large and small, eg Novartis, GSK, AstraZeneca, Bayer.

At present we have several active studies ongoing in the practice involving us and many other institutions worldwide.

We are affiliated to UKPCRN. The UK Research Network was established to support clinical research and to facilitate the conduct of trials and other well-designed studies across the UK. As part of the UK Clinical Research Collaboration, it works towards the development of a world class infrastructure to support clinical research in the UK.

Many of you may have been involved in non-commercial trials that we have participated in through our local Primary Care Research Network East Of England (PCRN - EoE). For example, the Heat Study, Propels Study, GLINT Study, Baby Milk Study, etc.

We also collaberate with the GSK Clinical Unit in Cambridge who from time to time are looking for healthy volunteers and patients to participate in studies. We would never pass on your details to them without asking for your consent.

National Diabetes Audit (NDA)

St Marys Surgery are taking part in an important national project about diabetes care and treament in the NHS.  A poster is available here and more information is available here.

These appointments are by referral from your GP.

Dispensing

Under strict NHS regulations, the surgery can only dispense medication for those patients living in the surrounding villages.

Patients living within the city of Ely may collect medication from either of the local chemists. Alternatively, Haddenham Pharmacy provide a delivery service. Patients may indicate their choice on the repeat form.

If you should run out of your prescribed medication and need to obtain a further supply urgently, when our dispensary is closed, please visit a local chemist. 

Out of hours UCC / Urgent Care Cambridge can be contacted on 0330 123 9131 in the event of a medical emergency.


Please note the new opening hours for both St Mary's dispensary and Lloyds Pharmacy are:

  • Open from 9.30am-1.00pm
  • Closed from 1.00pm-2.00pm
  • Open from 2.00pm-5.30pm

Lloyds Pharmacy is also open from 6.30pm-8.00pm on Monday and Wednesday and open Saturday 10.00am-4.00pm.

Please order your medication 10 days before you are due to run out and allow a minimum of 5 working days before collecting your medication.

We can arrange for an interpreter to attend your appointment with a GP or nurse. Please ask at reception.

It would be helpful if you could give us as much notice as possible so that we can ensure the availability of an interpreter for the required spoken or sign language.

Mental Health

Mental health

All the doctors and nurses at St Mary’s are trained to listen well and respond if patients present with mental health issues. Many problems can be dealt either by ourselves, or by signposting patients and families to local resources. Families with children can access locality Children’s Centres.

We have two in our practice area: the larger centre is at High Barns, Ely CB7 4RB. There is a smaller centre based at St John’s Scout Hut, St John’s Road, Ely CB6 3BW. Our linked health visitors, who support families with children under the age of five, are based at The Princess of Wales Hospital (tel: 01353 652070).

We don’t have a surgery-employed counsellor. We recommend that you look at the British Association for Counselling & Psychotherapy (BACP) website www.bacp.co.uk to find a counsellor or therapist. Some local charities such as RELATE and CRUSE can provide subsidised rates for those on lower income.

The Cambridge & Peterborough Mental Health Trust provides mental health services for those who need more specialised help. Referral into these services needs to be made by a health professional, such as a GP. The services are provided in the following categories:

  • Child & Adolescent Services (up to age 17)
  • IAPT (Increasing Access to Psychological Therapies) & Liaison Psychiatry Services

Minor Injuries

We are no longer contracted to treat minor injuries at our surgery. For these conditions patients should attend the Minor Injuries Unit based at the Princess of Wales Hospital or, out of hours, the accident and emergency departments of Addenbrooke's Hospital, Cambridge or Hinchingbrooke Hospital, Huntingdon.

Non-NHS Services

Non-NHS services

A wide range of services is provided at St Mary’s Surgery which are not covered by the National Health Service, eg medical examinations for HGV and PSV licences, pre-employment and fitness to travel examinations, signing of passport application forms and completion of private medical certificates, etc., for our own patients.

These services are provided at the discretion of the doctors and a fee will be payable.

Fees for Non-NHS Services

Isn’t the NHS supposed to be free?
The National Health Service provides most health care to most people free of charge, but there are exceptions. Prescription charges have existed since 1951 and there are a number of other services for which fees are charged. Sometimes the charge is made because the service is not covered by the NHS, for example, providing copies of health records or producing medical reports for insurance companies.

What is covered by the NHS and what is not?
The Government’s contract with GPs covers medical services to NHS patients, including the provision of ongoing medical treatment. In recent years, however, more and more organisations have been involving doctors in a whole range of non-medical work. Sometimes the only reason that GPs are asked is because they are in a position of trust in the community, or because an insurance company or employer wants to ensure that information provided to them is true and accurate.

Examples of non-NHS services for which GPs can charge their own NHS patients are:

  • Accident/sickness insurance claim forms
  • Certain travel vaccinations
  • Pre-employment medical questionnaire form
  • Holiday cancellation forms
  • Forms and Medicals for HGV/Taxi/PSV/DVLA
  • Private medical insurance reports
  • Ofsted reports
  • Fostering/adoption Medicals
  • Army/Forces medical forms
  • Certificates for children to work in the entertainment industry
  • Lasting Power of Attorney
  • Statement of fact from the medical record.

Examples of non-NHS services for which GPs can charge other institutions are:

  • Life assurance and income protection reports for insurance companies
  • Reports for the Department for Work and Pensions (DWP) in connection with disability living allowance and attendance allowance
  • Medical reports for local authorities in connection with adoption and fostering.

Please be advised we do NOT provide services to declare "fitness for" the following:

  • Diving
  • Aviation (Doctors approved for aviation medical assessments can be found at www.caa.co.uk/medical)
  • Parachuting
  • Extreme driving
  • Marathons / athletics
  • Moutain climbing / high altitude activity
  • Fit to fly as passenger
  • Fit to fly as pregnant woman (though we can provide statement of fact).

Why does it sometimes take my GP a long time to complete my form?
Time spent completing forms and preparing reports takes the GP away from the medical care of his or her patients. Our GPs have a very heavy workload and paperwork takes up an increasing amount of their time. We always ask our patients to collect any forms a week after leaving them with us. If they are ready before this time we will contact you to let you know. Please do not expect your GP to process forms overnight: urgent requests may mean that a doctor has to make special arrangements to process the form quickly, and this may cost more.

I only need the doctor’s signature - what is the problem?
When a doctor signs a certificate or completes a report, it is a condition of remaining on the Medical Register that they only sign what they know to be true. In order to complete even the simplest of forms, the doctor might have to check the patient’s entire medical record.

Out of Hours Emergency Service

Out of hours emergency service

When the surgery is closed, and in a genuine medical emergency only, patients should telephone NHS 111.

When the surgery is closed, any calls to the surgery (01353 663434) will receive a recorded message advising of the surgery opening hours and to hang up and dial 111 in a genuine medical emergency. 

All calls will be assessed and either:

  • Medical advice given
  • You will be referred to a healthcare professional for further advice
  • Arrangements made for you to be seen by a healthcare professional at a local centre (Princess of Wales Hospital, Ely or North Cambridgeshire Hospital, Wisbech or Doddington Hospital)
  • Arrangements made for you to be visited at home if you are bedbound by your illness or genuinely housebound
  • A 999 ambulance despatched, if appropriate.

The Cambridgeshire and Peterborough Clinical Commissioning Group is responsible for commissioning these services.

Change of personal details

Patients must advise reception of any change of name, status, address or telephone number, in order for medical records to be accurately maintained.


Disabled access

Spaces are reserved for the disabled in the rear car park. Wheelchair access is available by the main entrance to the building. A toilet for the disabled is situated on the ground floor. The surgery also has a hearing loop at reception, as well as a portable facility for use within consultations. Please ask at reception if this is required.
 

Behaviour

Patients using threatening or violent behaviour to GPs or any other person on the practice premises will be removed from the patient list with immediate effect.
 

Newly registered patients

All new patients are warmly welcomed to the practice. On registration each patient will be asked to make an appointment, within six months, to see a nursing assistant (or GP if repeat medication is required) so that their medical records can be updated.
 

Patients aged 16-75 years

Patients aged between 16 and 75 years of age who have not had a consultation in the previous three years can request a consultation for a routine check-up.
 

Patients aged 75 years and over

Patients in this category who have not had a consultation in the previous twelve months are entitled annually to see their doctor or a practice nurse to assess whether any treatment is required. Appointments can be requested at the surgery, or in the home if a patient is housebound.
 

Temporary residents

The doctors are happy to see any of your family and friends who need a doctor when they are staying with you. Similarly, when you are away from home in the UK you can visit any local doctor.
Please note there may be a charge for some overseas visitors.

Publication Of Earnings

Publication of earnings

All GP practices are required to declare the mean earnings (eg average) for GPs working to deliver NHS services to patients at each practice.

The average pay for GPs working at St Mary's Surgery in the last financial year before tax and national insurance is £49,229.

This is for 1 full time GPs and 12 part time GPs and 2 locum GPs who worked in the practice for more than 6 months.

It should be noted that the prescribed method for calculating earnings is potentially misleading because it takes no account of how much time doctors spend working in the practice, and should not be used to form any judgement about GP earnings, nor to make any comparison with any other practice.

Repeat Prescriptions

Repeat prescriptions

During this time of the coronavirus pandemic, our processes for re-ordering your prescription and collecting your medication have changed.

Re-ordering
Patients can’t come into the surgery to re-order. Please post your prescription in the post box of the entrance way when the surgery is open or through the letterbox in the front door. Please allow a minimum of 5 working days before collecting.

If you are registered with SystmOnline, please continue to re-order that way. If you are not and wish to order online, please download the NHS app and follow the on screen instructions to register. Use the App Store for I phone or Google Play for android.

Once registered you will be able to order your medication via the app.

Please note you have to be aged 13 or over to be able to register for the NHS app.

Collecting
Patients over the age of 70 are encouraged to arrange for someone else to collect their medication.

Do not attend the surgery if you or anyone in your household has a new cough or fever or if anyone in your household is self-isolating. You MUST arrange for someone else to collect.

Please note the opening hours for both St Mary's dispensary and Lloyds Pharmacy are:

More about repeat prescriptions
Repeat prescriptions are checked by your doctor before being issued. On certain occasions the doctor may decide it is more appropriate to see you for an appointment rather than issuing further medicines. This decision is made by the doctor and not by the dispensary staff. 

We can dispense medication for patients who live in the villages surrounding Ely but please allow 5 working days for processing of your request. 

We are unable to dispense for patients living in Ely. Patients living in Ely can collect their prescriptions from Lloyds Pharmacy based within the building or another pharmacy within Ely.

Please request your medication from the surgery 7-10 days before it is required to allow your prescription to be generated, signed and then processed by the pharmacy of your choice.

Sexual Health

St Mary's Surgery provides a full family planning service in a dedicated clinic. Our GPs and nurses are also able to offer contraceptive advice at routine appointments. 

We also offer pill checks and chlamydia screening. If you are aged 16-24 you can pick up a chlamydia urine testing kit from reception or in the toilets at the surgery.

Sick Certificates

Sick certificates

The patient is responsible for self-certification for the first seven days of an illness, using form SC2 which can be obtained from your employer or surgery reception.

Thereafter, if appropriate, NHS certificates will be issued by the doctor. Contact your doctor via askmyGP.

SMILE

SMILE

St Mary’s Surgery has an immediate and long-term equipment fund called SMILE.

This SMILE fund enables the practice to purchase items of equipment which benefit our patients, eg nebulizers for asthma patients, glucometers for diabetic patients, sonic aids for antenatal patients, ECG machine and defibrillator.

Occasionally kind donations are received which are deposited in this fund.

If you would like to make a donation, please ask to speak to the practice manager.

Test Results

When a doctor or nurse arranges for a test to be taken the patient will be informed how to obtain the result.

The type of test done will dictate how long your result takes to come back to us. The person who takes the test can normally advise you how long your test result will take to come back.

Please note that we will only contact you to tell you about your test results for one of the following reasons:

1. The test needs to be repeated again for some reason
2. You need to start or change treatment as a result of the test result
3. There is a problem with the result that we need to talk to you about so you need to see the doctor.

If your test result is normal – we will not contact you – this is because of the large volume of tests we undertake each week.

The Minor Injuries Treatment Centre - Princess of Wales Hospital

Minor Injuries Unit at Princess Of Wales Hospital

This is a service where nurse practitioners see patients. No appointment is necessary. Examples of what can be treated are:

  • Wounds - cuts and bruises (risk of tetanus)
  • Insect bites
  • Minor burns and scalds
  • Muscle and joint injuries, strains, sprains and limb fractures
  • Minor sport injuries
  • Also, some minor illnesses can be dealt with:
  • Eye problems - removal of foreign bodies, conjunctivitis
  • Earache (patients aged two years and over)
  • Sore throats (patients aged two years and over)
  • An emergency contraception service is also available.

The unit is open:

  • Seven days a week - 8.30am- 6.00pm (including Bank Holidays)

There are no X-ray facilities at weekends.

To Register with a GP

How to register with a GP

Please see the latest news section within the Coronavirus / COVID-19 tab for instructions on how to register at present. There are new processes during the pandemic.

Patients wishing to register with a GP and who live within our practice area will be asked to complete a registration form (GMS1) and a new patient questionnaire (available at Reception) for each family member with details of full name, date of birth, new address, previous home address and GP details. Where possible your NHS number should be included. You may wish to take these forms home to complete them.

When returning the completed forms we also require two forms of ID for each adult patient - One form of Photo ID (passport or driving licence) and a utility bill showing name and current address dated within past 6 months.
For children a birth certifcate can be shown or hospital discharge letter for new borns.

 On registration you are entitled to express a preference in relation to the GP from whom you wish to receive medical services, and we will endeavour to comply with any reasonable preference.

We operate an open access policy whereby any patient can request to see any doctor. However, where possible, it is preferred that a patient sees the same doctor to encourage continuity of care.

If for any reason one doctor is absent, the remaining doctors will see his or her patients.

Transport

Hospital transport

To qualify for hospital transport you must live at least three miles from the hospital and have no other means of attending, eg own vehicle, a friend or public / voluntary transport. If you suffer severe physical or mental problems, or are attending for treatment which has physical side effects, you may qualify for transport. 

Transport arrangements should be made at the hospital when booking your appointment.

Community transport

If you have difficulty using conventional public transport, East Cambs Social Car Scheme can be contacted on 01353 666553 between 9.30am and 12.30pm.
